In our ongoing effort to keep our customers informed of what happening in the world of swingers and lifestyle travel, below we have replicated the email sent out by SwingFest announcing the cancelation of their 2010 event.
Due to the nature of unsettled disputes between SwingFest Events Inc. and the Ramada Celebration Resort, the SwingFest 2010 event is being postponed.
If you have signed up through the hotel website per the email sent on 7/15/10, just go back and cancel it by Monday, July 19th. We apologize for this inconvenience. Today, I spoke to over 70 concerned attendees, and then by 3 p.m. EST, I was notified by my sales team that the terms of the event were at an impasse.
As a result of the postponement, you may receive a refund for 2010; or a credit plus $100 towards a winter SwingFest 2010, that is being planned right now, or our 2011 SwingFest Event to be held in Texas. In the next few days, I will be calling you personally to answer questions and address your concerns, and at that time you can determine your choice for a refund or credit. Refunds will be processed through our merchant provider. Our Terms of Service are still applicable regarding chargeback and cancellations.
I ask that you please refrain from reacting until you and I have our significant conversation. Please, refrain from sending belligerent or ignorant emails, if this postponement is abrupt and makes you react with haste and disgust, our corporate reaction is not different; and we are and will continue to amend the situation. What has been done in planning for 9 months cannot be turned around in a day.
1. A month and a half ago the host hotel changed their policy regarding alcohol resulting in our first dispute.
2. Then the hotel raised rates from $69 to $99 to $129 and back to $99, which was causing our corporation to be unprofitable.
3. The hotel's management staff raised our room fees over 100% while adding facility charges previously not on the contract. These price increases were causing us to have to start cutting many of the events perks, such as free wine and beer at the exhibit hall, cutting out one theme room altogether from 5 to 4, and completely removing any free food service previously planned for the 2010 SwingFest event.
4. The kicker for us was when they required us to post that our attendees must sign up through their website, in addition, they added a room cancelation charge and opted to have the ability for people put children on their order. This was the last straw for us.
Their fluctuations in contracts terms and adding stipulations simply will not do for our attendees, vendors and staff. Hence, that is why the event is postponed.
Once again, I ask that you remain patient as I will be calling you to discuss our plans for 2010 and 2011. Please, do not send a return email to respond, or call. I will be calling you from my list in order of sign ups, so I can keep track of each decision. Thank you in advance for receipt of this email and my sincere apologies for the postponement and drama.
